Terms for Schools & Clubs
Version: 2026-10-23 • Last updated: 23 October 2026
These terms apply when a school, club or other organisation (the “Organisation”) buys student seats for IQChess on teach.iqchess.org. Together with our Terms of Service and the Data Processing Agreement (“DPA”) they form the agreement between the Organisation and 9517-9206 Québec inc. (“IQChess”, “we”). Where these terms differ from the Terms of Service for the Organisation's purchase, these terms prevail; the DPA prevails on student data. The person who buys seats confirms they are authorised to do so on the Organisation's behalf.
In short: seats are paid yearly in advance and renew automatically. We email you about 30 days before each renewal. You can cancel at any time and the seats keep working until the end of the year you paid for. You get a full refund if you ask within 30 days of your first payment, or within 14 days of a renewal. After that, payments are not refunded, except in the cases listed in §6.
1) What a seat is
- One seat lets one student use IQChess with the Arena plan and 400 AI analysis tokens a month for as long as the Organisation's subscription is active. A seat can be moved to another student by removing the first student.
- Seats are sold for a year (12 months), from 10 to 1,000 per Organisation. Teachers and administrators do not need seats.
- Seat holders are subject to the Terms of Service; students enrolled by the Organisation may be under 13, as described in the DPA.
2) Prices, currency and taxes
- The price per seat is shown before you pay, in the currency of the Organisation's country where we support it, otherwise in US dollars. Prices exclude taxes.
- Some countries have a lower regional price. It is set by the country the Organisation declares, and the billing country must be the same. If they differ, we may charge the standard price from the next renewal.
- Sales taxes (VAT, GST, HST, QST and similar) are calculated by our payment processor, Stripe, and added where they apply. Organisations in the European Union, the United Kingdom and South Korea must give a valid business tax ID, and the sale is then reverse-charged.
- We may change prices. A change applies only from the Organisation's next renewal, and we will tell you at least 30 days before that renewal.
3) Payment
- Online: by card or by the bank debit Stripe offers in your currency. Seats become available once the payment is confirmed.
- By invoice: we email an invoice payable within 30 days. Seats become available when the first invoice is paid.
- If a renewal payment fails, Stripe retries it for a short grace period during which the seats keep working. If it still fails, the seats are put on hold until it is paid, and end if it is not.
4) Renewal, changing seats and cancelling
- Renewal: the subscription renews automatically every year for the same number of seats at the price then in force. We email the Organisation's administrators about 30 days before each renewal.
- Adding seats: added seats are charged straight away for the rest of the current year (pro rata) and can be used at once. They renew with the others.
- Fewer seats: a reduction takes effect at the next renewal, not during the year. If more students are enrolled than the new number of seats, new students cannot join until some are removed.
- Cancelling: an administrator can cancel at any time from Billing → Manage billing on the dashboard. Cancelling stops the next renewal; the seats keep working until the end of the year already paid for.
5) Refunds
- First purchase: if you ask within 30 days of your first payment, we refund it in full.
- Renewal: if you ask within 14 days of a renewal payment, we refund that renewal in full.
- Added seats: if you added seats by mistake and tell us within 14 days of that charge, we refund it and remove those seats.
- A full refund ends the seats it paid for straight away.
- Outside these windows, payments are not refunded, in whole or in part, including for seats not used or for the rest of the year after cancelling, except as set out in §6 or where the law requires otherwise.
- To ask for a refund, email billing@iqchess.org from an administrator's address with the Organisation's name. Refunds go back to the original payment method, normally within 5–10 business days.
- Please contact us before disputing a payment with your bank; we will usually resolve it faster.
6) Pro-rated refunds
We refund the unused part of the year (whole months remaining after the seats end) if:
- we stop providing IQChess for schools and clubs, or remove a feature described in §1;
- the service is unavailable or materially fails to work as described for a prolonged period and we do not fix it within 30 days of you telling us;
- the Organisation ends its seats because it objects to a new sub-processor, as allowed by the DPA (§6);
- we end the Organisation's access without it having breached these terms.
7) Free pilots
We may give an Organisation free seats for a limited time. A pilot costs nothing, does not turn into a paid subscription by itself and ends automatically on the date shown on the dashboard. Buying seats during or after a pilot starts a normal paid year under these terms.
8) Purchases by parents
A parent or guardian may add a plan or AI tokens to their own child's account from a link the Organisation sends. That purchase is made and paid for by the parent, not the Organisation, and is governed by the Terms of Service. It does not change the Organisation's seats or what it pays.
9) When seats end
When the Organisation's seats end (after cancelling, a full refund or non-payment), students lose the seat's plan and keep a free account. Class accounts created by the Organisation are deleted 90 days after the seats end unless the Organisation buys seats again; we email the administrators about 30 days before. Students who joined with their own account keep it. Details are in the DPA (§7).
10) Liability
Sections 11 (Disclaimers) and 12 (Limitation of Liability) of the Terms of Service apply. Our total liability to the Organisation will not exceed the amounts it paid us in the 12 months before the claim arose.
11) Governing law
These terms are governed by the laws of the Province of Québec and the federal laws of Canada applicable therein. The courts located in Montréal, Québec have exclusive jurisdiction, unless mandatory law in the Organisation's country provides otherwise.
12) Changes
We may update these terms; the “Last updated” date shows when. Changes that affect price, renewal or refunds apply from the Organisation's next renewal, and we will announce them on the dashboard at least 30 days before.
